What is the deposit required to hold my date, and what is your payment schedule?
Typically, a non-refundable deposit, often ranging from 25% to 50% of the total service fee, is required to secure your date and officially book the planner's services. The remaining balance is usually broken into installment payments, with the final payment due a week to 30 days before the event date.
What is your cancellation policy? Are deposits refundable? What forms of payment do you accept?
Most deposits are non-refundable, as they secure the planner's time and block out their availability. Subsequent payments may be partially or non-refundable depending on the proximity to the event date and the services already rendered. All payments will be processed through invoice via credit card or ACH deposit.
What is the planning process from start to finish?
Our planning process generally begins with an initial consultation to understand your vision, budget, and needs. From there, we develop a detailed proposal and contract. Once booked, we move into comprehensive planning phases, including vendor selection, budget management, timeline creation, design conceptualization, and logistical coordination. The process culminates in seamless execution on the event day and post-event follow-up.
How often will we meet or communicate?
Communication frequency is tailored to your needs and the chosen planning package. For full-service clients, this often means regular bi-weekly or monthly meetings (in-person or virtual), frequent email exchanges, and scheduled phone calls. For partial planning, communication may be less frequent, focusing on key milestones as the event approaches.
How hands-on or hands-off do you expect clients to be in the process?
Your level of involvement is entirely up to you. We can handle every detail, providing you with curated options for final approval (more hands-off), or we can work collaboratively on every decision (more hands-on). Our goal is to alleviate stress, so we adapt to your preferred level of participation.
How do you handle vendor selection and management? Do you have a list of preferred vendors? (Can I use my own?)
We have an extensive network of trusted, preferred vendors with whom we've built strong relationships and who consistently deliver high-quality services. We will provide recommendations based on your style, budget, and specific needs, present you with options, and handle all communication, negotiation, and contract management. While we highly recommend our preferred vendors, we are absolutely open to working with any vendors you have already chosen or wish to bring on board, provided they meet our professional standards.
Will you create and manage the day-of timeline?
Yes, creating and meticulously managing a detailed day-of timeline is a core part of our service. This timeline ensures that every moment, from vendor arrivals and setup to guest transitions and key event milestones, flows seamlessly and according to plan, allowing you to relax and enjoy your event.
Will you attend vendor meetings or venue walk-throughs?
Yes, attending vendor meetings, venue walk-throughs, and site inspections is a standard part of our comprehensive planning services. This allows us to ensure all logistical details are covered, coordinate directly with your chosen team, and visualize the event space effectively.
What is the process for setting up and breaking down decor/personal items on the day of the event?
On the event day, our team oversees and coordinates all setup, ensuring that decor elements, personal items, and vendor installations are placed according to the design plan. We work directly with the venue staff and all relevant vendors to manage this process. Similarly, at the end of the event, we supervise and coordinate the breakdown and pack-up of all items, ensuring nothing is left behind or damaged.
What is your approach to problem-solving or handling unexpected issues on the event day?
Our approach to problem-solving is proactive and discreet. We anticipate potential issues before they arise and have contingency plans in place. On the event day, we handle any unexpected challenges calmly and efficiently, often resolving them before you even become aware, ensuring your event remains on track and stress-free.
